Here’s How to File and Print the W3 Form in QuickBooks

Filling form W3 depends on how your W-2 is filed with the Social Security Administration (SSA) or in these conditions: 


  • If you mail the W-2 Copy A to the SSA, you’ll need to file Form W3 along with the W-2 Copy A. 

  • You don’t need to file W3 file Form W3 if we file your W-2s for you, or you file them electronically with our payroll services.

Select your product below to get a report that helps you fill out Form W3. Following the steps below, you can find the information you require to file the federal W3 form.

Select Employees and Payroll from the Reports menu. 

  • Choose the Payroll Summary option.

  • Make sure your time range covers the entire date in your calendar. 

  • Finally, select Print to get all the information you need to e-file the W3 form.

Once you file form W3, you just need to print it so you can share it with your employees as a file copy. Here’s how you can print the W3 form: 

Step 1: Get the W-2 Paper 


  • Go to the Intuit official site and move to the QuickBooks Checks & Supplies page. 

  • Select Tax Products and then click Blank W-2 kits

  • Follow the on-screen instructions to complete this order: 

  • You can get 3 or 4 perforated papers using QuickBooks Payroll, QuickBooks Payroll Enhanced, or Standard. 

  • You can only get four perforated papers if you are a QuickBooks Desktop Payroll Assisted user. 

Step 2: Print the W3 Form 


First, choose your QuickBooks product and follow the steps below to print the W3 form. 


In QuickBooks Desktop Payroll Assisted 


You can start printing W3 forms by January 10. If you selected Intuit, you only need to print whenever your employee loses the W3 form or doesn’t get it. 


  • Go to the Employees menu and then select Payroll Center.

  • Move to the File Forms tab and select View/Print Forms &W3s.

  • Enter your payroll PIN and then click OK

  • Further, select the W3s tab.

  • Choose the year you want to print your W3 and then select all or individual employees. 

  • Click on the Open/Save Selected button. 

  • Select the applicable reason why you are printing the W3 form. 

  • Go to File in Adobe Reader and then select Print.


Note: If you print the W3 form because your employee either lost it or didn’t get it, write the REISSUES STATEMENT on the top and include or follow the W3 form instructions. 


In QuickBooks Desktop Payroll Enhanced or Standard 


If you are using QuickBooks Payroll Enhances or Standard, you can print the W3 form after 1 January. 


Note: Before moving further, ensure your QuickBooks and the payroll tax table are updated to the latest release. 


  • Go to the Employees menu and select Payroll Tax Forms & W-2. Then, choose Process Payroll Forms

  • Select the File Forms tab and Annual Form W-2/W3 - Wage and Tax Statement /Transmittal

  • Now, click on Create Form and choose all or individual employees to file. 

  • Choose the year and click OK.

  • Select all or individual employees to print. 

  • Once done, click Submit Form and follow the on-screen instructions to print.
